What is Email Software?

Email software is designed for crafting, delivering, and categorizing electronic mail.

Email software is more than a tool that facilitates collecting, sending, and receiving electronic mail. Email software functionality can extend to spam prevention, advanced search, phishing countermeasures, and other tools that allow for the efficient management of electronic letters and folders.

There are three major types of email software. Webmail, email clients, and email marketing solutions. The former is the most popular with Gmail and Hotmail as popular examples. On the other hand, email clients are often used in the corporate environment as the system it’s based on (client-server architecture), allows for much faster electronic mail access and has the capability to retrieve mail even when the users don’t have access to the internet.

Types of Email Software

The major types of email software are webmail, email clients, and email marketing.

Email clients - An email client is an application that uses client-server architecture. With an email client, messages are sent to a central server which is then relayed back to the correct email address. The messages are stored on your personal computer which means that they can be accessed very quickly.

Webmail - Webmail can only be accessed using browsers. As such, an internet connection will be required. Users are given their own web address to access emails. As you would expect, webmail can take a longer time to load as internet connection speeds have to be taken into consideration.

Email Marketing - Email marketing software is a product that marketers use for their email marketing strategies. It can be used in a myriad of different ways, which include crafting email templates tailor-made for their individual marketing campaigns and expanding a pool of email subscribers. It’s not just for sending electronic mail—email marketing software has a wide array of tools marketers can use to streamline, automate, and generally make their marketing operations more efficient.

How to Choose Email software

Webmail – Common features include cross-platform functionality (allowing you to access your email even when you’re on your smartphone), built-in chat, search capability, a built-in calendar, chat capability, anti-spam and virus countermeasures, ability to connect with social platforms, unlimited storage capacity, extensive attachment size allowance, SMS texting, and the ability to view multimedia like videos and slideshows within the UI of the webmail service. All of these options should be taken into consideration if you’re looking for a new webmail service. All solutions will have a handful—or all—of the aforementioned features. It’s up to you to choose which one holds the most features that are crucial for your needs.

Email Clients – Email clients may not be as user-friendly when compared to webmail as they require an extensive one-time setup process, but they come with a range of features that increase their utility. Email clients allow you to access your email even when offline and queue up tasks, such as sending future emails and flagging unwanted emails as spam. Best of all, this can be done without an internet connection.

Email clients can be great for saving time as they provide you with a more robust categorization scheme. You can use various filters to categorize emails by who sent them and you can also determine if you were the primary recipient.

With an email client, you also do not need to worry about server-side crashes, as your files will still be safely stored on your PC. In the same light email clients will also allow you greater control over how you backup your files. You can even backup your list of contacts and your email’s file directory structure—including your Sent Mail folder. Additionally, since it’s all on your PC, you have the option to encrypt your files and store them wherever you want to.

Email Marketing Software – Here are several things to look for in email marketing software:

  • Autoresponder – Sending mass emails is a key aspect of every online marketing campaign. What better way to speed up the process than to get software that automates responses? With this feature, you can create template responses, which mitigates the repetitiveness of responding to every email.
  • Classification of Contacts – If you have multiple products and/or campaigns, the ability to break up your client pool into smaller groups will be hugely advantageous, allowing you to focus on a certain group of clients if you wish to do so.
  • CRM Compatibility – Ensure that your email marketing software is compatible with your CRM for a more cohesive and seamless experience. The Ability to Edit Using the Software’s GUI – In this day and age, efficiency is everything so having a drag-and-drop interface and a visual editor will allow you to create and save high-quality templates that you can recycle for later use.
  • Cross-Platform Compatibility – If your marketing materials aren’t viewable on mobile devices, a huge chunk of your campaign will go unseen.
  • Analytics – Ensuring that you have actionable data will enhance the performance of future marketing campaigns.

Make sure your email marketing software is also compliant with anti-spam laws as being hit with accusations of CAN-SPAM noncompliance can render most—if not all—your email outreach programs useless.
