SmartFile is a cloud-based and on-premise platform for file management that allows enterprises to handle file sharing and data transfer. Businesses may use desktop, browsers or FTP clients to email, retrieve and handle files. It registers and monitors consumer actions automatically to ensure conformity with GDPR and other regulatory requirements.
The software was founded in 2009 by two entrepreneurs who wanted to build a basic web-based FTP application. It was distributed publicly in the fall of the same year and is the preferred system for migrating big data in a safe environment.
SmartFile helps managers provide employees with role-based access, set storage limits and set an expiry date to guarantee secure data access. It provides a variety of features including email notifications, file versioning and locking, single sign-on (SSO), file transfer limited, folder sharing and more. Furthermore, configurable branding capabilities allow businesses to create a custom portal with a tailored logo and interface.
File management and sharing are conducted in one place that can be accessed from any device, anywhere. Users can access any of the SmartFile portals without worrying about file size even for sharing ad copy to .psd files.
The software includes connectivity via APIs with various third-party applications such as Microsoft Outlook and Azure AD. Pricing comprises monthly/annual subscriptions, and support is extended via telephone, email and the web.
SmartFile has two types, cloud or on-premise. The file-sharing and transfer functions of the software are equipped with some features that are unique to each of the types.
SmartFile is agnostic to the system, device and browser. Use Android, iOS, Windows, Linux, Blackberry or whatever you prefer to use the responsive HTML5 interface to access the software. Using any device, users can navigate and manage files from anywhere, always using the same login URL, username and password.
Assign users to subfolders from the “Home Directory” without access to any parent files. Place the custom permissions as you wish for directories, files and apps. Assign users for bulk approvals to classes, and fewer efforts. Admin users can determine which files can be viewed, uploaded, downloaded or deleted.
Users can connect their logo and icon to show on both desktop and mobile browsers. Buttons and interface can be stylized using a combination of the brand colors. Users can maximize domain use for login and client access. This will make SmartFile seem like a real integration into the routine of the organization.
This feature allows a secure sharing of entire directories of folders and single files. Download limits, expiration dates and password protection are added to guarantee proper access. Users can mark emails and link-related URLs with the business logo, colors and text.
The on-premise system utilizes the SMB connector for Windows, SAMBA and others with the purpose of having unified storage. The direct connector integrates external storage, backup, replication and encryption implements. The FTP connector is where the FTP servers are linked with the rest of the system to expand storage.
Access and integration
SmartFile is supported by FTPS/SFTP for restricted access, HTTPs for accessibility on any mobile device and web browser, WebDAV links data to desktop for easy access, API simplifies integration with third parties and Microsoft Outlook for sending, adding and requesting of files via email.
Security and compliance
This feature provides AES 256-bit encryption, multi-layer firewalls, file redundancy to guarantee file availability, user and file activities assist auditors, email alerts are used for instant notices on user activities, and a VPN alternative for secure offsite access of files.
The on-premise platform has features specific to its functions. The Syslog is for the integration of log data to central storage, AD/LDAP/Radius assists in authenticating the identity of users, SMTP assists in sending customized system messages to users’ servers, and a seamless Azure Active Directory Integration for permissions.
FileHub also gives the user the capability to perform advanced global searches and to set up rules scripts and other custom automations. The user interface can be modified or customized to address specific needs. Maintenance of the system is free of charge and comes with personalized VIP support.
One of the benefits of SmartFile to users is the hybrid file management approach. This addresses the overloading of servers due to excessive user demand. Both device types work together for efficient resource management. The on-premise device can provide users with easy access while the cloud can handle updates for safe fetching of files.
SmartFile allows users to customize an organization’s branding through logo use and subdomain creation. An HTTPS address for the personalized domain containing the brand name as well as customization of the user interface so that it represents the brand image and colors highlights the organization’s corporate identity.
On-premise is highly scalable as it adjusts with the changes in the organization’s file storage system, especially during network expansions. Active monitoring, FTP, workflow automation and user permissions are all customizable to the size of the system.
Ease of use
The SmartFile system is accessible on any mobile device or desktop as it is web-enabled. This allows users to locate and share files of any size or type even outside of the organization. IT provides assistance for monitoring and management of access also to prevent unauthorized file extraction and exchange.
The on-premise SmartFile is hosted behind the firewall as virtual file storage. Files are managed through a central portal and hosted natively or installed on a network, FTP servers, Windows servers and database applications.
Files can be retrieved from preferred applications, like web servers, Outlook and mounted drives. HIPAA-compliant activity records and audit trails are used for client file sharing and management.
The software is an alternative for DropBox and other FTPs. Unauthorized file sharing is prevented as user roles and permissions settings are granular. User activity can be limited to the persons assigned for certain tasks. Passwords and download limits can be set together with the expiration dates of shared files.
A comprehensive Help Center is available on the support page where documents on file and user management, automation and connection can be accessed for reference. The support team is reachable via phone and fax 24/7.
It is also possible to submit requests for desired features. This can be done on the community page of Luminox support, SmartFile’s support hub.
