RFIs are pervasive in the engineering and construction industries (including sectors such as oil and gas, mining, infrastructure & buildings), and also widely used in other project-based industries such as IT. RFIs are an important tool, because they provide a traceable record of the exchange of information between relevant parties (Owner, Constructor, Engineers, Architect, Subcontractors and Trades). Furthermore, the information is often time-critical and proper record keeping and management of RFIs can significantly assist in ensuring that the workflow is as smooth as possible.
An RFI enables a user to pose a question regarding a topic (as well as enclosing any relevant documents or photos if required - Hut 12 (Free version) has a limit of 50mb for file attachments), before sending it to the intended recipient. The recipient may be able to provide a response directly, but if not, they may pass it to someone with the right knowledge to prepare a draft response or alternatively send their own RFI to a third party for clarification.
For example, an electrical contractor may seek direction from the builder as to how many lights are required in a room. The builder is unlikely to have this information and therefore creates a new RFI based on the electrician’s RFI, and forwards this to the electrical engineer. Once the electrical engineer responds to the builder, the builder can in turn respond to the electrician’s original RFI.
The above example is quite simple, but it doesn’t take too much imagination to understand how the production and management of RFIs originating from many different directions can be a nightmare for individuals and organisations to manage.
